AI Redaction Templates

AI Redaction Templates allow users to create templates for standardized redactions, helping to streamline the redaction process. Templates can be tuned to locate specific words or phrases, named entities, personal pronouns, and user-defined patterns. Templates can also pull data from the organization's unique Redaction Knowledge Base, leveraging institutional experience into powerful automated redaction tools.

This section covers creating and managing Redaction Templates.

To access Redaction Templates, navigate to Administration > Document Management > Redaction Templates. The Redaction Templates screen appears as shown below:

This screen lists all existing AI Redaction Templates, along with the Created Date and Created By indicating who created the template and when. There are options to create a New template, Edit an existing, Delete a template or Close the AI Redaction Templates screen.

New AI Redaction Template

To create a new AI Redaction Template:

  1. Navigate to Administration > Document Management > Redaction Templates. The Redaction Templates screen appears as shown below:

  1. Click New. The New AI Redaction Templates screen appears as shown below:

  1. Enter a Name for the template. Use a name that will help identify this specific template within the list

  1. Add Redaction Criteria to the template. All available criteria is listed on this screen, and include the following categories: PII/Confidential Information, Organization Information, Location Information, Date/Time, Money and Percentage Information, Knowledge Base Information and Custom Patterns. To add criteria, first select the Checkbox beside the Category to be enabled. For example, the screen below has enabled PII/Confidential Information:

  1. After enabling a Category, the (A) Criteria under that category are automatically selected. Additionally, under each Criteria there are selections enabled to determine the (B) Redaction Code to be applied, and a (C) Color for that code. When the template is applied, the selected Criteria (in this case, Proper Names and Personal Pronouns, are automatically redacted using the selected code and color


  1. Additionally, redactions can be applied at the Category level by selecting the Category code and color. This selection is overridden by any selections made under the individual criteria

  2. To select a Redaction Code to be applied, select the Redaction Code beside the criteria.  The Select Redaction Code window appears as shown below

  1. Select a (A) Code to be applied, then click (B) Select

  2. To select a color to be applied, select the Color beside the criteria. The Color Picker pop up appears as shown below

  1. Select any color to be applied. This color then appears on the New AI Redaction Template window as shown below

  1. Repeat the process on all desired Categories/Criteria until the template is complete. When ready to save, click Save to save the template:

  1. A confirmation message appears as shown below confirming the template saved successfully

  1. Click Back to return to the AI Redaction Templates list. The newly-added template is listed here

  1. The template is now ready for use, or further editing as needed

Edit AI Redaction Template

Follow the steps below to view and edit and existing Redaction Template:

  1. Navigate to Administration > Document Management > AI Redaction Templates. The AI Redaction Templates screen appears as shown below

  1. Select an existing template to view/edit then click Edit. The Redaction Template screen appears as shown below



  1. Edit the existing redaction details. When all redactions are added to the template, click (A) Save to save the changes, or click (B) Save As to save as a new Redaction Template

Delete AI Redaction Template

To delete an existing AI Redaction Template:

  1. Navigate to Administration > Document Management > AI Redaction Templates

  2. Select an existing template, then click Delete


  1. A pop-up confirmation appears

  1. Click OK to delete the AI Redaction Template

  2. After clicking OK the template is removed from the AI Redaction Templates list.
