Create a New Folder

ATIPXpress offers an intuitive user interface that allows content to be structured at any level of complexity. Normal operations such as creating and editing folders can be performed directly from the navigation tree. You can arrange Folders in a hierarchy with as many levels as desired. The folders you create are presented to users in a similar fashion to the familiar Windows Explorer format and interface. Once folders are created, documents can be associated with a folder.

NOTE: In Document Management, all related folders are grouped under a File Cabinet Drawer. Folders are divided into Sections, while Sections provide groupings for related Pages. Therefore, the structure is File Cabinet Drawer > Folder > Section (optional) > Pages.

NOTE: To create File Cabinet Drawers, including Sections within the File Cabinet Drawers, click Administration > Document Management > File Cabinet Drawers > New. By using this method, users with specific Application Permissions can create and edit folders.

Steps to Create a New Folder from the Search Folder Window

  1. Click Document Management > Create New Folder. The Create Folder screen displays as shown below. Note, the image below contains some custom-specific fields.

  1. Enter information in the following fields per your agency's requirements:

Field

Description

File Cabinet Name

The name of the File Cabinet to which the Folder is being added.

Folder Name

The name of the new Folder.

Document Format

Document Format, selected from the drop-down menu. The following options are available:

    • Separate Single-page Files: High-resolution image file that is used when scanning documents and images. The standard format is TIFF.

    • Native Format - Redaction Disabled: Documents created in any other supported file format. Documents cannot be redacted or viewed with this option and only one file can be added to the folder.

Prefix

The prefix for Bates Stamping.

Suffix

The suffix for Bates Stamping.

  1. Click Create Folder. A verification message displays as shown below.

NOTE: Optionally, you can enter Folder Declassification Information by expanding the Folder Declassification Information tab. Enter information in the following fields per your agency's requirements: Document Control Number, Accession Number, Box Number, Folder Number, Document Number, Enclosure Number, Originator, Description, NARA Transfer Date, Scanned/Added Date, Scanned/Added By, and No Scan Reason.
