Create/Edit/Delete an Extension

Extensions can be created for all Requests except for those whose Request status is "Closed", "On Hold-Need Info/Clarification", or "On Hold-Fee Related." After Extensions are created, they can also be edited and deleted using the steps on this page.

Steps to Create an Extension

  1. Open the Request you want to extend or whose due date you want to edit, then click Extensions. The Extensions screen displays as shown below:

  2. Click New. The New Extension screen displays as shown below.

  3. Under Extension Request Details, use the Reason for Extension drop-down to select a reason for the extension.

  4. After selecting a reason, additional fields appear to capture details about the extension:

Description

Extend Target Date

Amount of additional response time you wish to add to the Request. Options depend on the selected Reason for Extension, as this reason determines the options for adding days. These selections include a standard 10 days, a user-configurable Other number of days, or a specific X Days number of days configured for that Reason for Extension. Some or all of these selections will be available depending on your configuration.

Section of the Act Description

Section of the act cited in allowing this extension. This is pre-filled depending on your selected Reason for Extension, and can't be edited.

New Multi-Track Type

New Multi-Track Type to override the Multi-Track Type set when creating the Request. Options include Simple, Complex, and Expedite.

(!!) Note: This field is only visible if your system is configured for Multi-Track Type.

New Target Date

The new targeted date for completion of the Request.

Extension Note

Any notes regarding the new extension.

  1. Click Save. If the New Target Date exceeds the 30 days allowed for processing, the screen below displays:

  2. Click OK to override the calculated date (New Target Date), or click Cancel to return to the Extension screen and adjust the New Target Date.

  3. If your system is configured to require extension approval, after clicking OK the window below will pop up:

  4. Click OK to mark the Extension as complete, or click Cancel to complete the Extension action at a later time.

Edit an Extension

After you have created a new Extension for processing a Request, you can edit the Extension information. Follow the steps below to Edit an Extension:

  1. Open a Request for which you want to edit an Extension.

  2. Click Extensions. Extensions that have been created for that Request displays on the Extension screen.

  3. Select an Extension to edit, then click Edit. The Edit Extension screen displays.

  4. Edit the Additional Response Time, Reason for Extensions, Extend Target Date, New Multi-Track Type, or Extension Note fields as needed.

  5. Click Save.

Delete Extension

Users with the required Permissions can delete an Extension. Follow the steps below to Delete an Extension:

  1. Open a Request for which an extension has been created.

  2. Click Extensions. Extensions that have been created for the Request displays on the Extensions screen as shown below.

  3. Select the Extension you want to delete, then click Delete. A verification message displays as shown below.

NOTE: The content of this message will change depending on the approval status.

  1. Click OK. The Delete Extension window displays as shown below.

  2. Click Save. The Extension will be deleted from the Extensions screen.

NOTE: The screen below appears if the Extension has been previously approved.
