Create/Edit/Delete

Create a Custom Field

  1. Click Administration > Document Management > Document Custom Fields. The Custom Tabs screen displays as shown below.

  2. Select the Custom Tab for which you want to create a Custom Field, then click Groups. The Document Custom Field Groups screen displays as shown below.

  3. Select the Custom Field Group for which you want to create a Custom Field, then click Fields. The Document Custom Fields screen displays as shown below.

  4. Click New. The New Document Custom Field screen displays as shown below.

  5. Enter information in the fields described below per your agency's requirements.

Field

Description

Name

The name of the Custom Field.

Type

The type of field you want to create as defined below:

Text: Creates a narrative field that accepts up to 50 alphanumeric characters. This is the default option.

Number: Creates a field that accepts up to 9 digits.

Date: Creates a field that accepts text in mm/dd/yyyy format. Users can either enter the date directly in the available field, or click a calendar icon to select the month, day and year, which are then automatically populated in the field.

List Option - Single: When selected, reveals the Lists Options field to create, edit or delete values from a drop-down menu.

List Option - Multiple: When selected, reveals the List Options field to create, edit, or delete values for a combo list and reveals the Display Height field.

Text Area: Creates a field that accepts up to 255 alphanumeric characters.

Length

The maximum number of characters/numerals allowed for the field.

Display Width

The maximum size (in pixels) of the field from one side to the other as displayed in the Custom Field Group on the Custom Tab.

Enabled

When selected, activates the field for use.

Required

When selected, enables the field to be mandatory for input.

  1. Click Save. A verification message displays as shown below.

  2. Click OK.

Edit Request Custom Field

Follow the steps below to Edit a Custom Field:

  1. Click Administration > Request Management > Request Custom Fields. The Request Custom Field Groups screen displays.

  2. Select the Custom Field Group for which to edit a Custom Field.

  3. Click Fields. The Request Custom Fields screen for the selected Custom Field Group displays.

  4. Select the Custom Field you want to edit.

  5. Click Edit. The Request Custom Field Details screen displays.

  6. Edit the Request Custom Field Details as needed. These are described in the section above.

  7. Click Save. A verification message displays.

  8. Click OK.

Delete Document Custom Field

Follow the steps below to delete a Document Custom Field:

  1. Click Administration > Document Management > Document Custom Fields. The Custom Tabs screen displays

  2. Select the Custom Tab containing the Custom Field you want to delete, then click Groups. The Document Custom Field Groups screen displays.

  3. Select the Custom Field Group containing the Custom Field you want to delete, then click Fields. The Document Custom Fields screen displays.

  4. Select the Custom Field you want to delete, then click Delete. A verification message displays.

  5. Click OK.
