Find and Redact

Users can find and redact text using the Find and Redact feature. After finding and redacting text, users can apply selected Redaction Codes.

NOTE: FOIAXpress allows for using find and redact at the File Cabinet Drawer level and at the root of the document tree, for additional flexibility in using this tool.

Steps to Find and Redact

  1. Click Document Management > Search Folders.

  2. Enter search criteria as necessary to locate the Folder containing the text you want to find and redact.

  3. Click Search.

  4. From the search results, select the checkbox next to the Folder containing the text you want to find and redact.

  5. Click Open Folders. The Document Management screen displays as shown below.

  6. Right-click the Folder containing the text you want to find and redact. A menu displays as shown below.

NOTE: After clicking on the Folder, you will be prompted to load a review layer. To load a review layer, follow steps 6-9 as described in Load Review Layer. If you load a review layer, repeat step 6 as described above.

  1. Click Find and Redact. The Find and Redact window displays as shown below

  2. Under the Find What section, click the drop-down menu and select the type of text you want to search for. Word/Phrase will be selected by default. The selections under this menu are described below:

Selection

Word/Phrase

Any word or phrase, as entered in the provided text field

Credit Card Numbers

Any credit card numbers appearing in the selected documents

Currency

Any currency figures appearing in the selected documents

Email Addresses

Any email addresses that appear in the selected documents

Employer ID Numbers (EIN)

Any Employer ID Numbers that appear in the selected documents

Social Security Number

Any Social Security Number sequences that appear in the selected documents

Telephone Numbers

Any telephone numbers that appear in the selected documents

  1. Enter the text you want to find (if applicable) and redact in the text box.

NOTE: To further refine your find and redact search using "AND" or "OR" operators, click the icon, and then select AND or OR. For additional information about search operators and Full Text Search, click the icon.

  1. In the Redact section, click Select Codes. The Select Redaction Codes window displays as shown below.

  2. Select the Redaction Code(s) you want to apply.

NOTE: If you select the b(3) Redaction Code, you must also select a Statute Code.

  1. Click Select. The selected Redaction Code(s) displays in the Redaction Code(s) field as shown below.

NOTE: Click Clear Codes to clear all Redaction Code(s) from the Redaction Code(s) field.

  1. Click one of the following actions:

Action

Find & Strikethrough

Find items that satisfy the search criteria, and then draw a line through the results.

Find & Create Highlight for Review

Find items that satisfy the search criteria, and then highlight the results for review.

Find and Redact

Find items that satisfy the search criteria, and then redact the results.

Cancel

Exit the Find and Redact window.

  1. Select Modify existing review layer to apply the selected action to an existing review layer, or select Create new review layer to apply the selected action to a new review layer.

NOTE: If you selected Create new review layer, you can enter the name of a new review layer in the space provided, or you can click Select from List to select from a list of review layers that have not been applied to the document.

  1. Click OK. The Job Progress window displays as shown below after the job is completed.

  2. Click Close Window.

  3. After selecting an action, the Review Layer Options window displays as shown below.
