The Mark for Action option allows users to mark for action all Requests that are closed and have an expired retention period.
Steps to Mark for Action
Click Administration > Retention Module > Mark for Action. The Requests View [Mark for Action] screen displays as shown below.

Enter search criteria in the fields described below as necessary.
Field | Description |
Request # | The identification number assigned to the Request. |
Request Type | The type of Request. |
Requester | The Requester associated with a Request. You can click the browse button to search for and select a Requester. |
Description | The Request description submitted by the Requester. |
Action Office | The Action Office associated with a Request. |
Request Status | The current status of the Request. By default, this field is disabled and is automatically populated with "Closed" as the status, because Retention Policies are only applied to closed Requests. |
Request Owner | User assigned as the owner of the Request |
Search in Sub Requests | When selected, also searches in any sub requests. |
Click Search. A list of search results displays as shown below.

Select the checkbox(es) next to the Request(s) you want to delete or archive, and then click Mark For Action. The Mark for Action window displays as shown below.

NOTE: The Mark for Action Date cannot be greater than the current date.
Enter any Comments.
Attach the Approval Copy if necessary, by clicking Click to Attach File, or Add from Scan.
Click Mark for Action.
NOTE: The Mark for Action Date field is automatically populated with the current date. If this is not the correct date, click the calendar icon to select another date.
Steps to View Details
NOTE: To view Request Details before marking a Request for action, follow the steps below.
From the Requests View screen, select a Request for which you want to view details, then click View Request Details. Details for the selected Request will be displayed as shown below.

NOTE: Request Details cannot be edited while in this view.
Steps to Amend Expiry Date
To amend the Expiry Date before marking a Request for action, follow the steps below.
From the Requests View screen, select the Request for which you want to change the expiration date.
Click Amend Expiry Date. The Amend Expiry Date window displays as shown below:

Click the Calendar icon and select a New Retention Expiry Date.
Enter Comments regarding the amendment of the expiration date.
Click Save.
Steps to Export
To export a Request before marking it for action, follow the steps below:
From the Requests View screen, select the Request you want to export, and then click Export. The Export window displays as shown below.

Select one of the Export Options (PDF, Excel, Word, or CSV)
Select one of the Page Options (All Pages or Current Page)
Click Export.
