Transfer Request

The Transfer Request feature can be used to transfer the Request from one Action Office to another.

NOTE: The Transfer Request feature appears on a Request screen only if Open Government Act Configuration is enabled under Administration > System Configuration > Request Configuration > Configuration Type.

Steps to Transfer Request

  1. Open the Request you want to transfer to another Action Office.

  2. Click Transfer Request. The screen is displayed as shown below.

3. Enter information in the fields described below as necessary:

Field

Description

New Action Office

From the drop-down menu, select the Action Office to which you want to transfer the Request.

Transfer Date

The date the Request will be transferred. This is also referred to as the Received Date of the Action Office receiving the transfer. By default, the current date will be used.

New Target Date

Automatically displays the new target date.

Comments

Comments about the Request transfer.

Generate New Request Number

If this checkbox is selected, a new Request number will be generated when the Request is transferred. This option will only be available if the Enable 'Generate New Request Number' Option in Transfer Request Screen checkbox is selected under Administration > System Configuration > Request Configuration.

Send Email to Primary User

If this checkbox is selected, an email will be sent to the primary user, notifying them of the transfer.

Assign Request

If this checkbox is selected, the Assign Request screen will automatically open after clicking Transfer.

  1. Click Transfer. A verification message displays as shown below.

  1. Click OK.

NOTE: When transferring a Request that has documents linked to a Review Log/Request Folder, the following message displays: "This request has documents linked to the review log/request folder. Before the Request can be transferred, its associated documents must be removed. If they must be included in the transferred Request, you must reassociate them once the transfer process is completed. To view the associated documents, click Cancel to return to the Request, or click OK to remove the documents and complete the Request transfer.
