Solution: Make sure you have a review layer loaded. Also, you might have deleted the redactions on the page(s) and saved the changes.

When b (3) is selected and the respective statute codes associated with it are not enabled, the following message displays:

"Active Statute codes associated with b(3) cannot be found."

Solution: If the above message is displayed, you need to enable the statute codes associated with b(3).  

Steps to Make the Redaction Codes Active

  1. Click Administration > Document Management > Redaction Codes

  2. Select Statute as the Code Type

  3. Select the statute code you want to associate with b(3), and then click Edit

  4. Select the Active checkbox. This will enable the statute code

Solution: If the following message displays the first time you try to view a document, check to ensure all of the FOIA codes are in an active state:

"Active Redaction Codes not found"  

Steps to Ensure a Redaction Code is Active

  1. Click Administration > Document Management > Redaction Codes. The Redaction Codes screen displays as shown below

  1. Under Code Type, select the Code Type containing the Redaction Code you want to ensure is active

  2. Select the Redaction Code you want to ensure is active

Click Edit. The Edit Redaction Code screen displays as shown below,

  1. Make sure the Active checkbox is selected

  2. Click Save. A confirmation message displays as shown below

  3. Click OK

  4. Repeat steps 3-7 for each Redaction Code you want to confirm is Active

  5. Click Close

Now that your redaction codes are active, you can return to the Document Management screen and add the redaction code (or codes) to the redacted page.

Solution: This message is displayed when either of the following two conditions are satisfied:

  • You do not have "View File Cabinet Drawer" Permissions on any of the File Cabinet Drawers in FOIAXpress.

  • You have not created any File Cabinet Drawers.

Steps to Assign Permissions on File Cabinet Drawers

  1. Click Administration > Document Management > File Cabinet Drawer Roles.

  2. Select a File Cabinet Role to assign Permissions to, and then click Edit.

  3. Select the Role Assignment (Manually To Each File Cabinet or Automatically To All File Cabinets).

  4. Select the Role Permissions you want to assign to the Role.

  5. Click Save to save the modifications.

  6. Click Close to exit the screen.

Steps to Create New File Cabinet Drawers

  1. Click Administration > Document Management > File Cabinet Drawers.

  2. Click New.

  3. On the New File Cabinet Drawer screen, enter the File Cabinet Drawer Name.

  4. Enter a Description.

  5. Select an Action Office.

  6. If you want to set the new File Cabinet Drawer as the default, select the Default checkbox.

  7. Click Save to save the new File Cabinet Drawer.

Note: When assigning Permissions on a File Cabinet Drawer, it is important that you assign Permissions to the user(s) who will be working with this File Cabinet Drawer.

Solution: You will need to load the Review Layer before you can view the redactions in the document tree view. To load a review layer, right-click the folder and select Review Layers.

Otherwise, it is possible you may have encountered the problem when you redacted a page, deleted it, saved the deletion, and then modified the review layer. Although the document indicates that it contains a redaction, there are no visible redactions when you open the document. Since you have deleted the page, you cannot open it to view the redaction. You can only add the same page to the document and redact it.

Solution: Once you have added a Folder to a request, you cannot delete it in the document tree display because this action will also impact the Folder that has been added to the Request Folder.

Solution: The Folder that has been added to the Request Folder displays the two extra pages because these pages were added to the Folder in the document tree view mode (after the document had been added to the Request Folder). New pages added after adding the Folder to a Request Folder will be appended even in the view documents and document delivery screen.

Notes You cannot delete new pages that have been added to the Request Folder.

Although you might have performed redactions on the new pages, these redactions will not be reflected in the Folder that has been added to the Request Folder.

Solution: You may get this message if the security level for your browser is set at High.

Steps to Change your Browser Security Level

  1. Open your browser.

  2. Click Tools > Internet Options.

  3. In the Internet Options box, click the Security tab

  4. Set the security level to Medium.

Your system might have run out of disk space and cannot save the document. However, whatever pages have been converted into TIFF so far (up until you saw the error message) will be imported into the selected document. The remaining pages that have not been converted will not be added to the document.

Solution: The solution for the above problem is to clean up your disk space by deleting all temporary and unused files/folders.

Whenever you refresh a File Cabinet Drawer after loading redactions on the document(s) in the File Cabinet Drawer, the redactions will be unloaded, as the refresh action is synonymous with unloading redactions.

Solution: To view the redactions again, right-click the selected Folder and click Load Review Layer.

If the Application is configured on IIS 6:

Solution: Change the value of UploadReadAheadSize to the desired value. This value is by default 48K.

To change the above value please execute the below command from command prompt.

  1. Go to C:\Inetpub\AdminScripts

  2. cscript adsutil.vbs set w3svc/1/uploadreadaheadsize <value of the size>

Example: cscript adsutil.vbs set w3svc/1/uploadreadaheadsize 10485760

If the Application is configured on IIS 7:

Solution:

  1. Open Command Prompt with Administrator.

  2. Go to C:\Windows\system32\inetsrv.

  3. Run the below command.

appcmd.exe set config "Default Web Site"-section:system.webServer/serverRuntime /uploadReadAheadSize:"52428800" /commit:apphost

*52428800 – is the value of the file upload size.

Solution: When OCR or DDS is pending, in addition to the Word utilization being 100%, please create a folder named "Desktop" in the location below:

C:\Windows\SysWOW64\config\systemprofile

Also, provide the Write Permission on this Desktop folder to the Service User of OCR or DDS.

Solution: If the ADX file that you are importing is created with an older version of RedactXpress and FIPS being enabled, you cannot open or import the ADX file into FOIAXpress. In order to import the ADX file that was previously created with versions before 8.x, it should primarily be saved with the new version of RedactXpress and then be imported into FOIAXpress.

If you click Best Fit from the toolbar at the top of the screen, the image will be shrunk.

Solution: Click Actual Size from the toolbar at the top of the screen.
