Add Documents to the Request Folder

Documents to be submitted to a Requester in response to a Request must be added to the Request Folder. There are two ways to add documents to the Request Folder. For Request Types that are configured to require Response Package Approval, documents must first be added to the Review Log and processed through the workflow. Request Types that do not require Response Package Approval can add documents to the Request Folder directly.

Add Documents from the Review Log to the Request Folder

After adding redactions to documents in the Review Log, you can add the redacted documents to the Request:

  1. Open a Request for which to add documents to the Request Folder

  2. Click Add/Search/View Documents. The Add/Search/View Documents screen displays

  3. From the Review Log, select the documents to add, then click Open Documents. You can also click Open All Documents to open all review log documents in Document Management

NOTE: If you have saved any Review Layers, you are prompted to load an existing one. Select a Review Layer (if saved), then click Load.

  1. Right click the folder containing the documents to add, then click Add Folder to... > Request Folder

  2. The Add Folders to Request Folder screen displays as shown below

  1. Select the Folders to add, then click Add Folder(s)

NOTE: If the Folders you selected did not contain a review layer, a verification message displays. Click Yes to continue, or No to abort and add a review layer.

  1. After continuing, a message displays, notifying you that the Request status will change to "Documents Added" if you add the Folder(s) the Request Folder. Click Yes to continue

  2. The Job Progress screen displays. After the Job Status changes to "Completed", click Close Window

  3. The added documents will now be displayed in the Request Folder, and the Request Status will change to "Documents Added"

NOTE: You can add documents to a Request only when its status is Perfected, Disposition Accepted, Documents Added, Document Delivered, Delivery Failed or Amended. Exemption codes that have been applied can be viewed under Final Actions. When a review layer is modified for a folder in document management, the changes will not be updated for the Requests to which this folder is added. If documents are removed from the Request folder, the system will revert the Request back to the last known status.

NOTE: Users cannot make modifications to a review layer that has been added to a Request folder if it was opened directly from the Request folder.

Add Documents Directly to Request Folder

If a Request Type does not require Response Package Approval, the Add/Search/View documents screen will have more options available under Request Folder Documents. See the sample screen below for a Request Type that allows for adding documents directly to a Request Folder:

When Response Package Approval is not required, documents can be added directly to the Request Folder. The procedures for adding documents to the Request Folder mirror those for adding documents to the Review Log. See Add Documents to Review Log for step-by-step directions to add documents. These procedures can be used to add documents directly to a Request Folder.
