Add New PAL Reading Room Documents

Users can add new documents from Document Management to the PAL Reading Room. You also have the ability to link directly to a PAL Reading Room document via the document URL. Simply copy the URL of the folder you'd like to link, and when clicked it will navigate directly to the linked PAL Reading Room document.

Steps to Add New PAL Reading Room Documents

  1. Click Document Management > Search Folders. The Search Folders screen displays as shown below.

  2. Enter search criteria as necessary to locate the Folder containing the documents to add to the PAL Reading Room.

  3. Click Search. A list of Folders matching the search criteria displays as shown below.

  1. Select the check box to the left of the Folder containing the documents to add to the PAL Reading Room.

  2. Click Open Folders. The Document Management screen displays as shown below.

  3. Right-click the Folder. A menu displays as shown below.

  4. Click Add Folder to... > Reading Room, as shown below.

NOTE: If the Do you want to load an existing review layer? message appears, click Yes, click the Review Layer you want, click Load, and then repeat step 7.



NOTE: If another version of the documents have already been published to the PAL Reading Room, a message displays as shown below. Click OK to submit the documents as potential duplicates, or click Cancel to review details before submitting for publishing.

  1. A message displays as shown below. Click New to add documents to a new PAL Reading Room folder, or click Add to Existing to add documents to an existing PAL Reading Room Folder.

NOTE: If you clicked New, proceed to steps 9-13, then skip to step 19. If you clicked Add to Existing, proceed to step 14.

  1. If you clicked New, the New Reading Room Folder window displays as shown below.

  1. Enter information in the fields described below as necessary.

Field

Description

Folder Name

Enter the name of the new Folder.

Reading Room File Cabinet

Select a Reading Room File Cabinet from the drop-down menu.

Never Expires

This checkbox will be selected by default, indicating that the Folder will never expire. To set an expiration date, de-select the checkbox, and then select an expiration date using the calendar icon.

Show in PAL Reading Room

Select this checkbox to display the Folder in the PAL Reading Room. This will be selected by default.

Comments

Enter a description of the documents being published. This displays with the Folder name in the PAL Reading Room.

  1. Click Submit for Publishing. A verification message displays as shown below.

  2. Click OK. A Job Progress window displays as shown below, indicating when the job is completed.

  4. If you clicked Add to Existing, the Reading Room Search window displays as shown below.

  5. Click Search.

  6. From the search results, select a PAL Reading Room Folder.

  7. Click Add To Existing. A Job Progress window displays as shown below, indicating when the job is completed.

  8. Click Close Window.

  9. Click the icon to close the Document Management screen.

  10. Right-click the Folder. A menu displays as shown below.

  11. Click Publish to Reading Room. The Select Pages window displays as shown below.

  12. Select a Page Range.

  13. Click OK.

  14. The Reading Room Publish window displays as shown below.

Output Format

Output Format of the reading room document, as selected from the drop-down menu. Selections include Multi-page File (TIF), PDF Archive, PDF Image, PDF Tagged (508 Compliant), and Separated Single-Page Files

Include Review Objects

The Review Objects to include. Selections include Comments Box, Straight Line, Highlight, Stamp, Ellipse, and Sticky Note.

Include Fully Redacted Pages

Include fully redacted Pages.

Include Document Review Flags

Review flags to include in the published document. All will be selected by default.

Hide Codes

Hide Redaction Codes in the published document.

Hide Redaction Borders

Hide Redaction borders in the published document.

Headers and Footers

Bates Stamping

Enable Bates Stamping. If selected, also enter a Prefix and Suffix, and select a Bates Format from the drop-down menu.

Insert Page Numbers

Insert page numbers in the published document

Start Number

Defined start sequence numbering. Selections are Document # or Batch Start #. If you select Batch Start #, enter a number in the space provided.

Leading zeroes

Include zeroes before page numbers.

Page Format

Format for page numbering, as selected from the drop-down menu. Options include Page M, Page M of N, and Page M/N

Position

Position of header and footer, as selected from the drop-down menu. Options include Top Left, Top Center, Top Right, Bottom Left, Bottom Center, and Bottom Right

Font

Font Name and Font Size for headers and footers. Available fonts include Arial, Courier New, Georgia, Times New Roman, and Verdana. Sizes range from 7 to 14 point fonts.

Margin (Inches)

Left, Right, Top, and Bottom margin size, in inches.

Include Annotation Text

Include Annotation Text

Include Annotation Text in the published documents.

Position

Position for annotation text. Options include Top Left, Top Center, Top Right, Bottom Left, Bottom Center, and Bottom Right

Font

Font Name and Font Size for annotation text. Available fonts include Arial, Courier New, Georgia, Times New Roman, and Verdana. Sizes range from 7 to 14 point fonts.

Margin (Inches)

Left, Right, Top, and Bottom margin field, in inches.

Page Summary for Fully Withheld Pages

Save

Withheld pages saved either as Individual Page(s) or with Summary Page(s).

Position

Position for the page summary. Options include Top Left, Top Center, Top Right, Bottom Left, Bottom Center, and Bottom Right

Page # Format

Page # Format for the page summary. Options include Page M, Page M of N, and Page M/N

Font

Insert watermark

Insert a watermark. If selected, also select a watermark from the drop-down menu.

  1. Click Publish. A Job Progress window displays as shown below, indicating when the job is completed.

NOTE: To preview the documents before publishing, click Preview Pages.

  1. Click Close Window.

  2. Click Document Management > Search/Publish - Reading Room.

  3. Click Search.

  4. From the search results, select the Folder containing the documents to add to the PAL Reading Room.

  5. Click Publish. The selected Folder will be re-opened in Document Management, as shown below.

View PAL Reading Room Documents

Users can view documents that have been published to the PAL Reading Room.

Steps to View PAL Reading Room Documents

  1. Click Document Management > Search/Publish - Reading Room. The Reading Room Management screen displays as shown below.

  2. Enter search criteria as necessary to locate the Folder containing the documents to be viewed. These fields are described in the table below:

  1. Click Search. A list of search results displays as shown below, based on the search criteria.

  2. From the search results, select the Folder containing the documents you want to view.

  3. Click View Folders. The selected Folder displays on the Document Management screen as shown below.

  4. Expand the Folder to display the Pages you want to view.

  5. Click each Page you want to view, as shown below.

NOTE: To print documents, right-click a Folder/Section/Page and then click Print.

Edit/Delete PAL Reading Room Documents

Users can edit and delete documents that have been added to the PAL Reading Room.

Steps to Edit PAL Reading Room Documents

  1. Click Document Management > Search/Publish - Reading Room. The Reading Room Management screen displays as shown below.

  2. Enter search criteria as necessary to locate the Folder containing the document you want to edit. These fields are described under the View PAL Reading Room Documents section.

  3. Click Search. A list of search results displays as shown below, based on the search criteria.

  4. From the search results, select the Folder containing the document you want to edit, and click Edit Folder. The selected Folder displays on the Document Management screen as shown below.

  5. Select the document you would like to edit, and make any necessary changes to the document by following the instructions in Redacting Pages.

  6. Add the Document back to the PAL Folder, and republish them to the PAL Reading Room by following the instruction in Add New PAL Reading Room Documents.  

Steps to Delete PAL Reading Room Documents

  1. Click Document Management > Search/Publish - Reading Room. The Reading Room Management screen displays as shown below.

  3. Click Search. A list of search results displays as shown below, based on the search criteria.

  4. From the search results, select the Folder containing the document you want to edit, and click Edit Folder. The selected Folder displays on the Document Management screen as shown below.

  5. Right-click the Folder to display a menu as shown below.

  6. Click Remove Document from Folder. The document will be removed from the PAL Folder.

Publish PAL Reading Room Documents

To make documents available to the public, users can publish them to the PAL Reading Room.

Steps to Publish Documents in the PAL Reading Room

  1. Click Document Management > Search/Publish - Reading Room. The Reading Room Management screen displays as shown below.

  3. From the search results, select the Folder containing the documents you want to add to the PAL Reading Room.

  4. Click Publish. The selected Folder will be re-opened in Document Management, as shown below.
