Approve/Deny an Extension

All Extensions created for Requests require approval from an authorized supervisor or other authorized person. FOIAXpress provides Permissions to control whether the person reviewing an Extension request can grant/deny the Extension. For each Extension request, a comments box is provided to enter comments to track the extension as granted or denied.

NOTE: If the option Ex tension Approvals Required is selected in Administration > System Configuration > Request Configuration, Extensions must be sent to your supervisor for approval.

Steps to Approve or Deny the Extension

  1. Open a Request for which an extension has been created.

  2. Click Extensions. Extensions that have been created for the Request displays on the Extensions screen as shown below.

  3. Select an Extension, then click Approve/Deny. The Approve/Deny Extension screen displays as shown below:

  4. Enter information in the following Extension Request Details fields:

Field

Description

Reason for Extension

System-defined reason for the extension, selected from the drop-down menu.

Extend Target Date

Length of the extension. Available extension selections depend on the selected Reason for Extension.

Additional Response Time

The number of additional days to add to the projected response time.

New Multi-Track Type

The Multi Track Type (if your system is configured for Multi-Track Types)

Approval Status

Status of the approval:

Approve: Select this option to approve the Extension.

Optionally, you can enter an Approval Note.

Deny: Select this option to deny the Extension.

Optionally, you can enter a Denied Note.

  1. Click Save to approve or deny the extension.
