1.2 Reduce Document Storage Volume

The system now supports automatic cleanup of Collaboration Portal documents and attachments when a request is closed or deleted, based on a configurable setting. This helps agencies comply with data retention requirements and optimize storage usage by removing duplicate documents that have already been copied to ATIPXpress.
A new checkbox option has been added to the Request Configuration page, accessible via Administration > System Configuration > Request Configuration. The option is labeled Delete the Collaboration files for closed requests or deleted requests (once the retention period ends). It is unchecked by default.

When this option is enabled:
Request Closure: When a request is closed, the system displays a confirmation prompt asking whether to remove associated documents and attachments from the Collaboration application. If confirmed, the documents are removed. If declined, documents remain unchanged.
Request Deletion (After Retention Expiry): When a request is deleted after the retention period has expired, the system displays a confirmation prompt asking whether to remove associated documents and attachments. If confirmed, documents are removed during the retention expiry process.
When the option is disabled, no confirmation prompts are displayed, and documents remain unchanged during standard closure and deletion processes.
If you have previously confirmed deletion at request closure, the system displays a warning message when attempting to download an attachment or open a document in Document Management for that closed request, informing the user that the documents have been deleted and are no longer available.
1.3 Allow Multiple Admin users in Collaboration

This update allows you to designate multiple ATIPXpress users as Collaboration Admins from the Users management screen, enabling shared administrative oversight of the Collaboration Portal.

Navigate to Organization Setup and select Users from the list.
Select Yes or No to designate the user as Collab Admin.
1.4 Unified Consultation Workflow

The consultation workflow has been unified across all trigger points in PAL and the Collaboration Portal. You can now initiate, edit, and manage consultations using the new step-based workflow from the Document Folder, File Cabinet Drawer, Review Log, and all other existing locations. The workflow supports creating new consultations, adding pages to existing unsent consultations, and configuring Program Office-level settings such as file details, notifications, review flags, and security options.
In the Consultation Review Log, a new Consultation Mode column has been added, and Update Status has been replaced with Take Action. Actions under the ellipsis menu now dynamically populate based on the consultation’s latest status across both PAL and the Collaboration Portal.

1.5 API availability in PAL for application-level logs
A new Access Token Generator menu option has been added within PAL Config. This option allows Admin users to generate secure access tokens required for the Splunk logging integration.

Click Administration and navigate to Security. Select the Access Token Manager. This interface presents a comprehensive listing of all tokens, including their count and associated details. From this screen, you may review the status of each token and, when necessary, revoke any existing token to immediately invalidate its access. The revocation capability ensures that administrators retain full control over API access credentials at all times, supporting security compliance and governance requirements.
1.6 Customer Enabled Support Account for Collaboration Users
The Customer Enabled Support Admin feature allows you to optionally provide Support representatives with limited access to your Collaboration platform for troubleshooting purposes.

Click Administration and navigate to Security. Select Customer Enabled Support Admin to display the Customer Enabled Support Admin page shown above.
Select the Customer Enabled Support Admin option to enable Customer Enabled Support Admin access. This will enable it to perform support-related tasks.
1.7 Dedicated System Account for Background Jobs

All system background jobs now execute under a dedicated system account instead of an administrative user account. Audit Logs now clearly distinguish between manual user actions and system-generated actions, with all background job operations logged as UpdatedBy = System Account.
