Configuring the Email Reader for Correspondence Tracking

This guide is intended for eCASE administrators. It describes how to configure the Email Reader for the Correspondence Tracking application. The Email Reader enables the system to receive emails at a designated Microsoft 365 intake address and automatically create correspondence case folders from those emails.

This guide covers the admin case type configuration only:

  • Email Reader Settings: Configure the Microsoft 365 mailbox connection from the case type configuration page in the App Designer for Correspondence Tracking

  • Connectors Page: Verify the auto-created connector row on the Connectors page

Prerequisites

The following prerequisites must be met before beginning configuration:

  • A dedicated Microsoft 365 mailbox must exist and be designated as the correspondence intake address

  • An Azure AD application must be registered with access to the intake mailbox. The following values are required from the Azure AD application registration:

    • App Key

    • App Secret

    • Tenant Id

  • The Azure AD application must have the appropriate Microsoft Graph API permissions to read mailbox messages (e.g., Mail.Read application permission)

  • This configuration must be performed by an administrator with access to the App Designer for the Correspondence Tracking application

The Email Reader is configured at the case type level. Each case type has its own independent Email Reader configuration.

1. Navigate to Home then select Applications. The Applications page appears

2. Click the Correspondence Tracking in the application

3. In the left navigation, expand Case Types and select Correspondence. The case type configuration page appears

4. In the General section, click the Email Reader Settings icon. The Email Reader form appears

Configure the Email Reader

The Email Reader contains the connection fields required to link the case type to a Microsoft 365 intake mailbox. This is the same form used by the Investigation Email Hotline feature.

Complete the following fields:

Enable/Disable

Select to enable or disable the email intake for this case type.

Source Type

Select Microsoft from the dropdown.

Intake email address

Enter the mandatory email address of the designated Microsoft 365 mailbox.

Tenant Id

Enter the Tenant Id from the Azure AD application registration.

App Key

Enter the Application ID from the Azure AD application registration.

App Secret

Enter the App Secret from the Azure AD application registration.

NOTE: When checkbox is selected, the Tenant Id, App Key, and App Secret fields are mandatory in addition to Intake email address. When is it not, only Intake email address is mandatory.

NOTE: Each intake email address can only be configured on one active case type at a time.

Click Save to apply the configuration. On a successful save, the system automatically creates a corresponding row on the Connectors page.

NOTE: If you reopen the Email Reader form for a case type that already has a saved configuration, the form pre-populates with the existing values. You can edit and re-save at any time.

1. Navigate to Home then select Connectors. The Connectors list page appears

2. Locate the Email Reader - Correspondence row. The description reads Email Reader Configuration

NOTE: The Status of the Email Reader connector row is read-only on the Connectors page. It reflects the Enable/Disable checkbox from the Email Reader form. To change the status, open the Email Reader Settings form from the case type configuration page.
