Users can search the contents of the File Cabinet using the Full Text Search feature.

Boolean Operators

The "AND" and "OR" operators enable you to precisely define your search by creating a relationship between search terms.

To search for a complete phrase, use double quotes. For example, the query "administrative appeal" will find records that exclusively contain the phrase "administrative appeal." Using the phrase administrative appeal (without the double quotes) will search for "administrative" and "appeal" individually.

The "AND" operator locates documents containing both words in any order.  Example word1 AND word2

The "OR" operator locates documents containing either of the two words.   word1 OR word2

Nested Expressions

Nested Expressions allow you to create complex searches for information. For example, "ATIP AND (appeal OR procedure)" finds documents containing the word "ATIP" along with the words "appeal" or "procedure."

Basic Rules for Full Text Search

The basic rules for formulating queries in full-text searches are:

  1. Searches are not case-sensitive, so you can type your search in uppercase or lowercase characters.

  2. You may search for any combination of letters (a-z) and numbers (0-9).

  3. Symbols such as ~ $ % * - _ = [ ] { } , ; < > ? are ignored during a search.

  4. System and user defined common words specified under Administration > Lookups > Full-text Search Reserved Words will be ignored during Full Text Search.

Steps to Search Folders Using Full Text Search

  1. Click Document Management > Search Folders. The Search Folders screen displays as shown below.

Field

Description

Folder Name

The name of the Folder you are trying to locate.

Full Text Search

Allows you to enter advanced search criteria using the techniques described in the sections above. You can add Boolean operators by clicking the Boolean Search Icon icon and selecting the operators you want to add.

File Cabinet Drawer

The File Cabinet Drawer(s) you want to search in.

Added To

Allows you to search for Folders that have been added to the Review Log, Request Folder, or Reading Room.

Created Date

The date on which the Folder was created.

Created By

The user who created the Folder.

Action Office

The Action Office associated with the Folder.

Request #

The identification number assigned to the Request associated with the Folder.

  1. Click Search. The search results displays as shown below.

  1. Select the checkbox next to the Folder you want to open.

  2. Click Open Folders. The selected Folder will open in Document Management.
