Native DMS (Document Management System) is a feature that allows eCASE to store and manage files in a file storage area as the repository. This section will explain how to configure Native DMS for eCASE.

Pre-requirements

Please create a folder with a name of your choice on your local disk drive (or on the network location), and then make note of the folder’s name and path. For example, C:\DMS. Later, you will use this path as a root folder to create a file storage area for the DMS repository.

NOTE: Native DMS repository details are typically configured during the installation process of eCASE. Although, the repository can be easily managed via the Native DMS Configuration page.

Configure Repository Details

Navigate to Settings > System Configuration > Native DMS. Native DMS Configuration is displayed as shown below.

If your eCASE database is installed with “Windows Search Service” then the storage area should be in the local drive of the web server and also Indexing Server (Scheduler Service) should be installed on local server. Window Search Service does not work with network locations.

If your eCASE database is installed with “eCASE Search Service” then the storage location can be a network location and Indexing Server can be deployed on a Local or Remote Server. If set to Local, the indexing service job should run locally on the web server by installing scheduler on the web server. If it is set to use Remote Server then an indexing service job can be run on another server by installing scheduler server on a different server and file storage should user network location with UNC path. The network location should be accessible from the web server and indexing server. The scheduler server name and port should be provided when Remote Server option is selected.

1.      Select a File Storage Area (FSA) and click Edit or click New to create a new FSA. You are required to create at least one FSA to store documents in applications.

2.      A new window displays. From this window, you will be able to configure the following:    

Form fields for entering name, directory, status, capacity, and allocation settings.

  • Name - This option allows you to edit the name.

  • Root Directory - This option allows you to specify the file path of the Native DMS folder.

  • Status - This option provides two selections of either Open or Close.

  • Is Online - This option enables or disables the Native DMS feature.

  • Capacity (MB) - This option allows you to specify the size.

  • Current Size (MB) - This provides the current size in MB.

  • Allocation - This provides four different levels of allocation:

                                                     i)    Global - All applications documents will store be stored under the File Storage Area (FSA).

                                                     ii)    Application - Selected application documents will be stored under the FSA.

                                                     iii)   Attachment Type - Specified types of attachments will be stored under the FSA.

                                                     iv)   Mixed - Attachment and application combination will be stored under FSA.

3.      In the Native DMS Configuration dialog box, do the following to create a New file:

a.      On the right side of File Storage Location:, click Local Disk

b.      Select All for Is Online

c.       Select the Allocation of the Native DMS.

d.      Click New, and then in the File Storage Area pop-up, do the following:

                    i.      In the Name box, type the DMS name.

                   ii.      In the Root Directory box, type (or copy and paste) the disk drive path and folder name.

                   iii.      In the Is Online check box, check the box to make the FSA online.

                   iv.      In the Capacity box, type the amount of capacity using only numbers.

                   v.      Click the Allocation arrow, and then click Application.

                   vi.      Click Save and your New entry appears like below.

4.      To edit an existing FSA, select a FSA and click Edit. A new window appears, populated with the configuration of the selected FSA.

a.      Status- When editing a FSA, the Status can be changed to Close

b.      Current Size (MB)- The current size of the FSA in MB, as well as the number of files currently stored in the FSA. This field is read-only, and is populated according to the actual size of the FSA.
