Receive a Request

The initial phase in processing a Request is when the FOIA officer receives the Request. When the Request is received, the system will automatically assign it a unique Request number. This number is generated based on the Request number format configured when the Request type is created.

Steps to Configure Receive Request

  1. Click Requests > Search Requests. The Search screen will be displayed.

  2. Enter all relevant search criteria, then click Search. The received Request displays in the search results with a "Received" status. The information below displays on this screen:

Field

Description

Request #

The Request number that is automatically assigned to the Request by FOIAXpress.

Request Type

The Request type under which the Request is listed. The Request may be FOIA/PA, PA, Appeal, or FOIA.

Requester

The name of the Requester.

Organization

The organization the Requester works for.

Primary User

The primary user of a Request is whoever creates it until it is assigned to another user for processing.

Received Date

The date on which the Request is created.

Target Date

The date by which the Requested information is due to be delivered to the Requester. The target date calculation is set under Administration > System  Configuration > Request Configuration.

Remaining Days

The number of days remaining to complete the Request. If the Request status is changed to On Hold-Need Info/Clarification. At the perfecting stage, the remaining days will be calculated according to the setting at Administration > Request Configuration.

Request Status

The current status of the Request. Each status is distinguished for easy identification.
