About Workflow Types

The Workflow Type is the type of workflow for the case folder. Changing the workflow type will reflect on the left panel that displays the Case Type Components (for changes to reflect, you must Save)

There are three types of workflows, Standard, Ad hoc, and Routing Lists, each with unique configuration options:

Standard

Standard workflows are structured, clearly defined tasks that constitute the work process within a case folder. Each task can have a predefined assignee that is responsible for completing the task; tasks and assignees are designated and defined by the workflow. See the Standard Workflow section for more details.

Adhoc

In Adhoc Workflows, each task is defined and assigned upon completion of the previous task. Tasks and assignees are designated by the user within the application.

When Adhoc or Routing List is selected as the workflow type, some configuration options change:

·        Associated Office: Offices from the Available Office section can be associated with the workflow by moving the office to the Associated Office section

·        Hide Role when assigning activity: when tasks are assigned, the task assigner’s role will be hidden from the task assignee.

Routing Lists

A Routing List is a workflow that has a set of predefined tasks. During the workflow, a task from the set of predefined tasks is selected and assigned to a user. Tasks are predefined, and are designated to assignees within the application.

When Adhoc or Routing List is selected as the workflow type, some configuration options change:

Standard Workflow

When choosing the Standard workflow type, there is an option to choose the Workflow Source. This option is not available for Adhoc Workflows and Routing Lists. The configuration options are also slightly different, as shown below.

Note: Enabling the Suppress the assignment notification screen option will prevent assignment notification windows from appearing upon completion of a task. This is useful when you have already assigned all the tasks.

The Workflow Source options are described below:

User Selection

When the user creates a case folder, if there are multiple workflows available, there will be a dropdown menu to select which workflow they would like to use. This is reflected when creating a new folder in the eCASE application, as shown in this screenshot

Set By Choice List Value

With the Set By Choice List Value Workflow Source, workflows will be associated to a choice list of values, and the choice list value selected will determine which workflow will be taken. The case form must have a control that accesses the choice list value, so that the user can select a  workflow upon folder creation.

If using Set By Choice List Value > Select Case Type Field, the dropdown list is populated with case fields from the case data model (see the Data Model section for more details) that are either lookup dropdown, or lookup search. Select the field that contains the workflow values, and click Configure.

The fields on this window are described below:

Description

Choicelist Value

Name of the choice list value, as it is configured in Admin Settings > Choice Lists

Workflow

Workflow to be associated with the given ChoiceList Value. For a workflow to appear in the dropdown menu, it must be associated with at least one action office. Apply to All Offices

Applies the workflow source configuration to all action offices

Office Filter

Filters the workflows based on the action office associated with the workflow”:

Click Save to save changes made to the Configuration Choicelist Workflows.
